How Taylor Wiz Uses AI in Parent Outreach
AI handles the first minute. People handle the conversation that closes. When a parent submits a Meta lead form, a text with the school's application link goes out within a minute, followed by one question: keep texting, or get a call? Parents who text get answers from the school's own information, and the AI collects the student details the application needs. Parents who ask for a call hear from our team within 15 minutes during business hours. The AI never promises a seat and never discusses the lottery.

What happens in the first minute after a parent inquires?
Two texts, about a minute apart.
| When | What the parent receives | Who sends it |
|---|---|---|
| Within 1 minute of the inquiry | A thank-you text with the link to apply right away | Automated |
| About 1 minute later | A text in the school's voice: "How are you doing? Would you like to keep texting, or would you rather get a call?" | AI |
| If the parent asks for a call | "We'll call you right back. Is there a time that works best?" | AI |
| Within 15 minutes of a call request, during business hours | A phone call | Taylor Wiz outreach team |
Why two texts. The first gives a ready family the fastest path: apply now. The second starts a conversation with everyone else, and most parents prefer to text.
What does the AI do in a text conversation?
- Answers questions from the school's own information: grades served, location, schedule, transportation, uniforms, how to apply, and deadlines.
- Collects what the application needs: the student's first and last name, date of birth, current grade, and grade applying to.
- Saves it straight to the CRM. Every detail the parent gives maps to the student's record automatically, so no one retypes it and nothing gets lost between a text and the application.
- Moves the family toward a submitted application, and offers a call at any point.
When does a person take over?
Whenever a parent asks for a call. The first conversation text offers a call, and the AI offers it again whenever a parent prefers to talk.
- The parent picks a time, or says now is fine.
- A team member calls within 15 minutes during business hours, or at the time the parent chose.
- The team member collects anything still missing and helps the family submit the application.
Our outreach team is bilingual. See Parent Outreach.
What happens after hours and on weekends?
- The thank-you text still goes out right away, with the link to apply.
- The conversation waits for morning. The inquiry is held until 8 AM in the family's time zone, and the "keep texting or get a call?" text goes out then.
- No conversation texts go out overnight.
A parent who inquires at 9 PM can apply that night, and hears from the school's enrollment team first thing the next morning.
What will the AI never do?
- Promise a seat. Admission depends on the school's process.
- Discuss the lottery, including lottery odds, numbers, or results.
- Quote tuition for a charter school. Charter schools are tuition-free. For private schools, the AI can share the tuition the school has published.
- Share personal information beyond the basics the family gave to apply.
- Text overnight.
- Guess. If the answer is not in the school's information, the AI says the team will follow up.
How does the AI know the right answers for each school?
From a knowledge base built for each school.
- We start with the school's own materials: website, enrollment information, calendar, and FAQs.
- When a parent asks something the knowledge base does not cover, the team gets the answer from the school.
- The answer goes into the knowledge base, so the next parent who asks gets it right away.
Every school's knowledge base gets more complete with every question families ask.
Why use AI for the first response?
Because what happens after the lead decides what a school pays for an application. Across 20 Taylor Wiz charter school accounts, the middle half of schools paid $22 to $42 per Meta lead, about 2 times apart, but $80 to $346 per submitted application, more than 4 times apart (October 2025 to September 2026). Schools pay about the same to get a parent to raise a hand. Follow-up decides how many of those parents apply.
AI makes the first minute consistent: every inquiry, every time, including evenings and weekends. People do the part that needs judgment: the call, the questions the knowledge base cannot answer, and the push to a submitted application. See Leads vs Enrollments.
What should a school ask any agency that uses AI texting?
- How fast does the first text go out, and what does it say?
- What can the AI say, and what is it never allowed to say? Ask for the list.
- When does a person take over, and how fast do they call?
- Where does the information parents give end up? It should land in your records automatically.
- What happens after hours, and does the AI text overnight?
- How does the AI learn your school's answers, and who updates them?
Frequently asked questions
How does Taylor Wiz use AI in parent outreach?
AI sends a thank-you text with the application link within a minute of an inquiry, then asks whether the parent wants to keep texting or get a call. Texting parents get answers from the school's information while the AI collects student details. Parents who ask for a call hear from our team within 15 minutes during business hours.
Does the AI replace the outreach team?
No. The AI handles the first minute and routine questions. Our team handles calls, questions the AI cannot answer, and helping families submit applications.
Does the AI text parents at night?
The thank-you text with the application link goes out right away. Conversation texts wait until 8 AM in the family's time zone.
Can the AI promise a seat or discuss the lottery?
No. It never promises a seat, never discusses the lottery, and never quotes tuition for a charter school.
What does the AI collect from parents?
What the application needs: the student's name, date of birth, current grade, and grade applying to. It saves to the CRM automatically.
Does Taylor Wiz enroll students?
No. Taylor Wiz delivers submitted applications. Your school runs the lottery, makes offers, and completes enrollment.
How much does Taylor Wiz cost?
Pricing is scoped to each school on a strategy call, based on your enrollment goals and your market.
